File Synchronization - Synchronize Files and Folders Handily

For years, you have experienced days when you have to copy your files or documents which have been changed, and then paste them into the other disks for backup, or the home computer for continuing your unfinished works. This is really bad experience, for although it seems to be routine task, you have to repeat the monotonous and tedious works every day, every hour, even less. It's indeed inconvenient, sometimes there are so many files you have changed in this case that you will make mistakes and forget to copy all changed files. The common but important task really makes you annoyed so that you have to find a way to get rid of it.

Actually, you have heard the word File Synchronization and known little about it. What's File Synchronization or File Sync? It also called File Mirroring, or File Replication. File synchronization automatically synchronizes files between two folders which may be separated in two drivers or even if in two computers, simply, i.e. copies files from one driver or computer to another.

You may use file sync to synchronize documentation between a local hard driver and a removable driver, or between a local hard driver and remote network driver. Uniquely, you also utilize file synchronization to remove unwanted files from the destination folder according to a specified folder.

Generally, you are using different folders, drivers, and even different computers, such as a laptop and a desktop, to store and retrieve files. Normally, you manually manage files, dragging and dropping or copying and pasting from one place to another. Now, you may use file synchronization for keeping the up-to-date versions of the files the same on all your machines.

As well as your company, you and your colleagues need to share files for collaboration work. Your computer can connect to the company network, as well as your colleagues, so you can sign up for a shared file sync account, and select to synchronize the shared file stored in the network. When someone else on the network made changed to the same file, you can update your latest version of the files. By contraries, others also can update the latest version of the files once you make changes, too.

For most computer synchronization tasks there is a macro program named Macro Expert. It is one of the most powerful and flexible utility of its type, but it is also easy to use. The macro program features a function Synchronize Folders which allows you to synchronize folders, backup data, and copy/move files.

The following steps are to guide you how to use the instruction Synchronize Folders to synchronize files between two drivers or two computers:

Step 1: Creating an empty macro
Open "Macro Manager", click the menu "Script", and then choose "Create Blank Macro".

Then the dialog "Properties" pops up for asking some properties to the new macro. Here name the new macro as "Synchronize files", and specify a hotkey for it. At the bottom of the property, choose a combined hotkey as "Ctrl+Alt+2" into the blank field. and then click "Ok".

The program will ask you with the message "Do you want to edit the script now?", you choose "Yes" to edit the macro now.

Step 2: Inserting the action into the macro

After opening the Script Editor, click the menu "Insert" or click the list "Action category" at the left, and point "File", then choose "Synchronize Folders".

Specified the source folder and the destination folder. Here you want to synchronize the folder articles under the path H:\Documents and Settings\gs1\My Documents\ and the folder aa under the driver E. So you specify both the full path, and then click "OK".

Here Macro Expert features three options for synchronizing files: Unbirdirection, which means file synchronization makes the latest version files in the source folder copy into destination folder automatically. Birdirection, which means file sync makes the latest version files in the source folder copy into destination folder automatically, and the latest version files in the destination folder copy into source folder too. Difference synchronization, which means file sync will remove unwanted files in the destination folder. All the files which do exist in destination folder but do not in the source folder will be removed. Suppose you use the option Unbirdirection. And click OK to save the result.

You have edited the script for synchronizing files between two driver in your desktop computer. Now, click the hotkey Ctrl+Alt+2 lightly, you notice all articles under the subfolder articles of H:\Documents and Settings\gs1\My Documents\ have been copied into the folder aa under the driver E.

Of course, you can synchronize files between a local hard driver and a removable driver, or between a local hard driver and remote network driver.

In conclusion, you can think of file synchronization in any ways.. as a means of keeping your files update on all your machines, and as insurance for your data with external hard drive, and as keeping copied of the files you're working on with a flash memory drive, or as shared files for sharing with other. However, whatever your want to do with file synchronization, one thing is certain: you will get rid of your trouble by copying and pasting the important files again and again.
